Visa Approval Letter (VAL)  is an official document issued by the Department of Immigration Malaysia confirming that the named person and programme study/ level of study has been approved to enter Malaysia for the purposes of study.

All future candidates who wish to study at USIM must apply for Visa Approval Letter (VAL). You should not come to USIM to register without getting the VAL first. If you come to USIM using Visitor VISA, you may wish to get some information and meet people but registration as postgraduate/undergraduate programmes under normal standard operating procedure cannot be done.

Please be reminded that international students are not allowed to enter Malaysia unless the Immigration Department of Malaysia has approved their visa for a student’s pass. Therefore, please do not make any arrangements to come to the University before you receive the visa approval letter (VAL).

REQUIREMENT:

VAL requires some details for the application process. The international student must submit all related documents to USIM ‘Alamiyyah via email at visa@usim.edu.my.

  1. Letter of Offer from USIM that proves your eligibility to continue your studies.
  2. Previous academic transcript and graduation certificate with full version and translated English version.
  3. Passport copy that contains information pages, student pass page including expired pass, and pages that have passport records used from travels (stamps from KLIA). Additionally, the passport must have more than 18 months of validity.
  4. Passport photo with white background and the format size photo must be 4.5cm x 3.5cm.
  5.  Proof of USIM Administrative + Student Pass Fee payment (MYR 120) to USIM  account and Proof of EMGS and Insurance Fee payment (MYR 1,737.00) to EMGS.
  6. Fill in the Health Declaration Form for student pass purposes.

MAIN PROCESS:

All related documents for the VAL application submitted by the international student will be applied by the representative from UA in the Education Malaysia Global Services (EMGS) system called STARS.

  1. UA will send EMGS Approval Letter to students allowing them to enrol in the USIM via Online Study.
  2. UA will send the VAL and Movement Procedure for International Students to students allowing them to enter Malaysia for face-to-face registration with the Centre for Marketing and Student Admission.
  3. Student needs to go for a medical check-up with USIM Policlinic afterwards.
  4. Passport and EMGS Supporting Letter will be submitted to the Immigration Department of Malaysia (IMM) Seremban, Negeri Sembilan for the sticker endorsement of the student pass/visa.

All processes will take 35 days for a valid student pass. Please refer to FAQ for more details.

The Visa Approval Letter (VAL) is only valid for 6 months from the date of issue. Students must register to the university during this period of validity of VAL. Failing to do so, a new VAL application has to be applied.

It should take MINIMUM 21 working days (or minimum 4 weeks) upon receipt of a complete document and payment. The student pass application must get Supporting Letter from EMGS prior submit to Immigration Department. Since the student pass is issued by the Immigration Department, the 21 working days is at the discretion of the Immigration Department (sometimes can be more). Thus, student must remain in Malaysia for a minimum 4 weeks after registration for student pass sticker endorsement.

Note: If student exit Malaysia (for any reason) after registration without complete the student pass endorsement, your VAL and SEV will be VOID. You have to re-apply again new VAL and do the same process if you required to obtain for student pass in future.

The student pass is granted by Immigration for international student to study and stay in Malaysia.

Malaysia Immigration Department NOT ALLOWED the conversion from social pass to student pass. All international students (except Diplomatic pass holders, Malaysian Permanent Residents) are required to have a student pass while studying at USIM.

Kindly refer to the Immigration Department’s website for the SEV requirement by country. If your country is on the list of countries which require an SEV to enter Malaysia, you can obtain the SEV from any neighbouring country.

Once you arrive in Malaysia, you will be required to attend post arrival medical screening within 3 days at USIM Policlinic. From the day your passport is submitted at our counter, the process should take 14 working days (or 3 WEEKS). Please note that this timeline is at the discretion of the Immigration Department.

You need to obtain a police report and liaise with USIM ‘Alamiyyah for further assistance.

Even though the VAL has expired, it is still active in the Immigration system. As such you are required to liaise with your institution and request that they cancel the expired VAL.

The process is the same as when you receive a physical VAL. You should print your eVAL and submit it together with other required documents to the Malaysian Embassy/Mission from where you will be applying for an SEV.

Applicants are required to obtain a Single Entry Visa (SEV) from their home country. In the event that they plan to obtain the SEV from a country other than their home country, they need to provide a document to show that they hold a long term pass in that country.
